As Faculty and Staff at St. John Fisher College we have a responsibility to protect the privacy and confidentiality of the College, the students and anyone else that we interact with.  As part of our daily tasks we sometimes need to send or receive private or personally identifiable information via our email.

The practice of sending private information via email is not encouraged, but if you need to, OIT is providing a service to ensure that the email and any attachments can only be read by the intended recipient.

To send a secured email:

  • Sender has to enter “[SECURE]” at the beginning of the subject line of the email message and then send the email as normal.
  • The email will get routed out to the Barracuda Spam filter where, based on the tag “[SECURE]”, the email will be encrypted and delivered to the Barracuda Message Center.
  • The original recipient will then receive an email from the Message Center letting them know that they have received an encrypted email from the original SJFC sender.  They will be provided with a link and a URL that they can use to log into the message center to view, reply or download the original email and any attachments.

Group Email Distribution Lists

In support of the College Email Policy [pdf], OIT provides faculty and staff three group email distribution lists for unofficial email communication. Unofficial email communications are those communications sent out on behalf of an individual as opposed to email from an academic or administrative unit. The Group Email Distribution Lists [pdf] will show you how to join or leave a group using OWA (webmail).
